What is Interlibrary Loan?

Interlibrary Loan and Document Services is a service provided for free to UNCW students, staff and faculty for borrowing books, articles and other materials from libraries.

Who can use UNCW Interlibrary Loan?

All currently registered UNCW students, faculty, and staff members.

What is UNCW Document Delivery?

Document delivery requests are for materials held by Randall Library. Faculty and graduate student requests are delivered to campus addresses. Distance education requests are mailed to home addresses.

What is ILLiad?

ILLiad is name of the online system used to request items through Interlibrary Loan. The name ILLiad is an acronym for InterLibrary Loan internet accessible database.

Which Web browser should I use?

We recommend the current versions of either Microsoft Internet Explorer or Mozilla Firefox.

Why don't I see all my older requests when I look at my request history?

Did you previously have an ILL account with a username different from your UNCW email username? If so, you will need to request for your accounts to be merged. Please fill out this short form.

Also, from time to time we purge older records from ILLiad. Our policy is to keep requests online for several years order to comply with record keeping requirements of the copyright law.

What do the Interlibrary Loan status messages mean?

Submitted to ILL Staff Request has been successfully submitted.
Awaiting Copyright Clearance ILL staff checking to see if a copyright fee is required; if fee is required it is paid by the library up to our maximum of $30.00USD.
Information Needed from User A request for additional information has been emailed to the user.
Submitted to Lending Libraries Request has been sent to potential lending libraries.
Ready for Pickup Loan is available to check out from the Randall Library Circulation Desk.
Received by ILL Staff Article or loan has arrived and an email notification to the user is pending.
Selected for Library Purchase Request has been selected by Library Acquisitions to purchase for the collection. The item will be rush ordered and placed on hold for the requestor when it arrives.
Available for Download Article has been posted and ready for user to download; to view articles, logon to ILL account, select “Electronically Received Articles” from the menu and select the one wanted. Articles are deleted from the ILL server after 30 days.
Checked Out Loan has been picked up by or mailed to customer.
Request Completed or Expired Loan was successfully returned, or article has expired and been removed from the ILL server.
Awaiting Renewal Processing Customer has requested a renewal; ILL staff will contact the lending library for approval.
Link Emailed to User

The item was found in our electronic holdings or open-access online; a link to the item has been emailed to the user.

Request Cancelled User or staff has canceled the request; reason for cancellation is included in email notification and available to view in user's ILL account (under "Cancelled Requests").

What is electronic delivery, and how can I get these articles?

Most libraries send photocopies of articles to us in electronically, usually in PDF format (Adobe's Portable Document Format). You can read more about electronic delivery on the Electronic Delivery Information page.

Why are ILLiad requests being purchased rather than borrowed from other libraries?

There is considerable evidence showing that items requested through ILL requests as “triggers” for purchase have more than one circulation. This process is just one component of collection development and it assists the Library in building an accessible and useful collection, one that meets the needs of a variety of users.

How much does ILL cost?

The Library subsidizes a borrowing fee up to $30 per item. Additional costs are the non-negotiable responsibility of the user as the Library is not budgeted to absorb these additional costs. Borrowing charges may include both copyright charges and/or charges from the lending Library but users will only be billed for additional costs in excess of the $30 per item that the Library subsidizes.

Are there laws or guidelines that impact borrowing materials through ILL?

Library resource sharing staff abide by the statutes outlined in Title 17 of the U.S. Code, as well as the CONTU Guidelines which aid the interpretation of Sections 107 and 108 of the U.S. Copyright Act. This process may require the utilization of the Copyright Clearance Center and commercial document suppliers to obtain as much requested material as possible.

Why does my browser say that you're sending a cookie? What's in it?

The technology that we use sends a Session ID to be stored on your machine. You can refuse this cookie and still be able to use ILLiad without any problems.

How do I receive materials ordered through UNCW Interlibrary Loan & Document Services?

Undergraduate students will receive an email notification when the item is available for download from your ILL account. When a loan is received, an email notification message is sent immediately and the item will be available for pickup at the Circulation Desk in Randall Library.

Distance Education students should set your status to "Distance Education" on your User Information settings. An email notification is sent when an article is available for download from your ILL account. Loans will be mailed to the home address listed in your User Information settings. Distance Education students are those enrolled in the Onslow County Extension Program, RN Access Program and all other programs defined as "Distance Education" by UNCW.

Graduate students will receive an email notification when the article is available for download from your ILL account. When a loan is received, an email notification message is sent immediately and the item will be delivered to your academic department. 

Faculty members will receive an email notification when the article is available for download from your ILL account.When a loan is received, an email notification message is sent immediately and the item will be delivered to your department within 24 hours of receipt of the notification message.
